The CANOPYv100 Portfolio, Program and Project Management Suite includes several key tools for effective project/program/portfolio management. These tools do not replace the functions of project managers nor the need to communicate, but they enable and empower project managers and their team members to become highly effective communicators and collaborators. These tools also increase the visibility of key areas to upper management, enabling problem areas to be quickly identified and appropriately adjusted. By providing the right level of feedback, the process significantly reduces risk and improves overall program clarity.

Project Assistant CANOPYv100 Project Assistant contains a core set of project management tools which facilitates improved handling of project related information, including logs for managing issues, action items, risks, decisions and change requests. These logs, together with the full suite of standard modules, can be configured to create the ultimate project communication and collaboration tool. When assembled correctly, utilizing best practices and key learnings from previous implementations, CANOPYv100 can provide visibility into items requiring management attention.
Program Coordinator CANOPYv100 Program Coordinator extends the functionality offered by Project Assistant to include Status Reporting. Project Managers are able to submit periodic (weekly, fortnightly, monthly, etc.) status reports using a consistent web-based application. This allows the PMO to generate various consolidated reports giving key insights into the different aspects of the overall program and individual projects. Benchmarks on progress can be illustrated using KPIs (with simple to understand green-yellow-red indicators) and measurements against baseline milestones.
Portfolio Aadministrator CANOPYv100 Portfolio Administrator further builds on the offering of Program Coordinator by giving executives better insights into the organization’s portfolio. Included are modules which offAer more detailed reporting, analysis, trending and tracking. Best of all, this is delivered in a single, consistent and comprehensive web portal application customized to the individual user’s needs and preferences.
  • The Status Reporting module allows all project managers to submit a consistently structured status report periodically (weekly, bi-weekly, monthly, etc.) providing updates to milestones; assessments of KPIs; (both at a project and/or sub-project/work-stream level) highlighting key issues, risks, decisions or change requests; identifying activities planned and achieved, planned but not achieved, and not planned and achieved. As well, all status reports for a period can be simply consolidated to create a program/portfolio view.
  • The Issues Log facilitates tracking, reporting and escalation of project/program or portfolio level issues.
  • The Action Items Log allow project resources to document and track the progress of action items, related to issues, risks or decisions, and creates a mechanism for defining ownership and accountability.
  • The Risks Log facilitates documentation, tracking, reporting and management of risks which may have an impact on the success of the project
  • The Decisions Log facilitates the recording and documentation of non-trivial decisions made at the project, program or portfolio level effectively creating a knowledge base of historical records and source of information for future resolution of similar problems.
  • The Change Requests Log facilitates the compilation and subsequent submission of a requested change by a project manager to the PMO/CCB. The due diligence section allows individual approval and reviewer groups to document their approval of the change.
  • The Resource Management module provides a centralized location for the maintenance of all resource related data and security configuration. Information captured includes general contact information; emergency contact information; resource costs information including contracts and rates; asset assignments and software licenses; assigned projects, teams and groups.
  • The Artifact Management module introduces a new way of storing and retrieving project artifacts. It also allows the user to categorize them, set the current phase, and link them to related projects. Accessing all the charters across a Portfolio or Program is a simple as selecting charters. Similarly, accessing all the documents under change control for a single project is as simple as selecting the project.
  • The role based nature of CANOPYv100 allows for the development of user centric modules which gives users a view of information that is specific to them. For example, the “My Issues” module will list only those issues that are relevant and pertinent to that resource – they may be one of the creator, owner, executive owner, or even the resource raising the issue. There are modules for “My Risks”, “My Decisions”, “My Action Items”, “My Change Requests” and “My Decisions”.
  • The notification module can be enabled to send a single email per day (so as not to overwhelm users’ inboxes) containing a summary or all issues, risks, etc. pertaining to that user. The email, for example, may contain issues which are coming due, or has become overdue, or has been updated by another user. Each of these summary items are made clickable, which takes the user back to the detailed item log in the portal allowing easy access to review or update.
